2017-2018 Renewal Process Steps

 

STEP ONE

CougSync Page Updates. These updates include:

*In order to complete page updates, current administrators should transfer admin permissions to new officers. On your RSO’s page, a current administrator can click “people”, then select the person, click “manage” and change their permission settings to “administrator”.

Profile: Log onto your RSO’s page and click “settings”, then click “organization settings”. This allows you to update your RSO's information. You must be an administrator of the CougSync page to do this.*

Constitution: Upload updates or changes to the constitution. A constitution template is available on CougSync; Click here for a constitution template. It should at a minimum define group organization, roles and purpose, membership requirements, officer duties, and due rates.

Membership: Four currently enrolled WSU students need to join your RSO’s CougSync page online. Click on the "People" tab on your page to update your group’s membership (e.g. update administrators, add new members, move old members to the alumni category).

 

STEP TWO

Advisor Approval. Your advisor must fill out the Advisor Agreement form to be considered your active advisor. Click here for the Advisor Agreement form.

This form is different from the signature card that the advisor has to sign if your RSO has a financial account. To sign the signature card, visit the CougarCard Center in the CUB (CUB 60).

Note: In order to be eligible to serve as an advisor a person must be a salaried employee of WSU. The following categories of employees are eligible to serve as advisors: faculty, staff, or a graduate student with a teaching, research, or graduate assistantship. Workers compensated with an hourly wage, and undergraduate employees are not eligible to serve as advisors.

 

STEP THREE

Attend Officer Training. Two officers must attend ONE of the following 2017 Officer Trainings:

Note: Check-in starts 10 minutes prior, and the duration of each training is 1.5 hours max.

WHY RENEWAL PROCESS?

Registered student organizations (RSOs) are our first priority, and every group deserves a basic understanding of resources available. For example, this year there is a surplus of $50,000 through grants remaining unrequested by the RSO community. In addition, many groups are unaware of the free services provided by the Student Organization Center (CUB 331), or confused by the required event registration and management process. It is our responsibility to encourage and support all RSOs to host successful events by managing the risk.

The renewal process “registers” your RSO which allows your organization to operate independently from, but with, WSU. Risks and liabilities exist for RSOs. The advisor of each RSO along with Student Involvement is here to help student groups operate independently and safely.

RSO RENEWAL PROCESS & OFFICER TRAINING (FAQ)

Renewal Process

  • All graduate and undergraduate RSOs must complete the annual renewal process.
  • Officers must be listed as an officer of their RSO on their CougSync profile page for the 2017-2018 academic year.
  • RSOs will remain activated until August 2017 and groups that do not complete the renewal process will be deactivated on August 1, 2017.
  • Any room reservations, funding requests, or event requests prior to August 1, 2017 will become void after August 1, 2017 if the renewal process has not been completed.
  • 2017-2018 renewal will be valid until August 1, 2018.
  • RSO finance accounts need at least two officers and the RSO advisor to sign the finance card in-person at the RSO finance office (CougarCard Center, CUB ground floor).

Officer Training

  • Greek affiliated organizations that renew with the Center for Fraternity and Sorority Life are exempt from the renewal process and/or RSO Officer Training.
  • Sports Clubs associated with University Recreation are required to complete UREC guidelines and are exempt from the renewal process and/or RSO Officer Training.
  • RHA RSOs need to complete annual renewal requirements, but do not need to attend RSO officer training. Student Involvement will be present at the Hall Government Training in fall 2017.
  • VetMed RSOs need to complete the renewal requirements, but do not need to attend RSO officer training. Student Involvement will be present at the VetMed training.
  • If an officer holds a position in two or more RSOs, the officer can earn credit for multiple RSOs.
  • A minimum of two officers are required to attend, but more than two are welcome.
  • Two officers must attend the full length of the training; partial credit will not be given.
  • If two officers that attend the training create a new RSO after August 1, 2017, they will not need to complete additional RSO Officer Training during the year.
